Duplicate records & merging

Two records, one person — fold them together safely, with an audit trail.

Walk-ins get typed in twice. Someone books online with the email you already had on file under a nickname. It happens everywhere; Aced gives you a safe way to fix it.

Where it lives

Open the customer's profile. When another record at your business shares their email, phone, or name, a Possible duplicates card appears with the match reason. Pick the record that should survive, open the duplicate's suggestion, and confirm the merge.

What moves

Everything: sales history, bookings, rounds and scoring history, loyalty (balances add together, transaction history is kept), saved cards, event registrations, memberships. The duplicate disappears and a full snapshot of it is kept in an audit log.

What it refuses (on purpose)

  • Records at two different businesses — never merged, by design.
  • Records linked to two different logins — that's two different people.
  • Two records that both carry a house-account balance — settle one first; Aced never invents or destroys money.
  • Two scorecards in the same round — delete one card first.
Merging can't be undone, so the confirm step is deliberate. When in doubt, check the last-activity dates — the record with the login attached is usually the survivor.
