Invoices, gift cards & events

Send-a-link billing, gift cards that sell themselves, and event registration.

Invoices

Bill anyone by link: Invoices → New, add lines, send. The customer opens a clean public page and pays by card; the moment it settles, the invoice marks itself paid and the sale books like any register sale. Perfect for house-account settlements, sponsorships, and event deposits.

Estimates

Quoting an outing or a big job? Invoices → New estimate builds the same document as a quote — the customer reviews and approves it online (nothing is owed on an estimate), and one click converts the approved quote into a draft invoice you send through the normal flow.

Gift cards

Sell them at the register or online — the public gift-card page takes payment and emails the code. Balances live in the same liability accounting as store credit, so outstanding gift value is always a real number on your books.

Events & leagues

Create events with registration, pricing, and capacity — and the type list fits your business: golf courses see tournaments, outings, and shotguns; cafés and shops see classes, tastings, pop-ups, markets, and live music.

Pricing is honest by default. Set an entry fee and the website shows the real price ("$50 per player") automatically — the free-text price line only overrides it when you want fancier wording. Turn on "Let people pay the entry fee online" and every confirmed sign-up gets a secure payment link (the same invoice page your billing uses); paid entries show a ✓ on the roster on their own, and unpaid ones can still pay at the counter. Before taking money online, write the cancellation & refund policy — it shows at sign-up and on the payment page, which is what protects you when weather wins.

Solo vs teams changes everything downstream. Pick "Teams of 2–4" on a golf event and the sign-up form asks for a team name (required), takes the whole team's spots at once, and the Aced scoring side runs on shared team cards named after the registered teams. Individual events work exactly as before. Custom sign-up questions (shirt size, handicap, allergies) are yours to define per event.

Lifecycle is safe now. Deleting or canceling an event also takes down its linked scoring tournament (kept — archived — if rounds were actually played) and voids any unpaid entry-fee payment links. Completed events and tournaments with history are kept forever; the daily janitor only purges canceled events that never collected money after 90 days.

Live the moment you create it — unless you say otherwise. New events go on your app and website immediately with online sign-up on; untick "Put it live now" to save a hidden draft instead. The event window always shows a Live / Hidden pill — one tap flips it. The "App & website listing" section isn't a publish step: it edits what customers already see, instantly on save.

Every sign-up gets a confirmation email. Anyone who registers with an email address receives a branded confirmation: their check-in code, the event details, an add-to-Google-Calendar link, the pay button when a fee is due online, and your cancellation policy. The code is how the shop finds a registration at check-in — and how the guest looks up or cancels their own spot online. The confirmation screen can re-send the email (capped) or text the code to their own phone.

Give the event a flyer. The listing section takes artwork (upload or pick from your image library) — it shows on the website's event page, the app, and the golfer portal.

Waitlists settle themselves. When a confirmed sign-up cancels — online or at the counter — the first person on the waitlist is promoted automatically and gets a branded "a spot opened up — you're in" email with their confirmation code, and on pay-online events, their own payment link.

Skins, match play, and nassau are real engines now. Pick one as the scoring format and the leaderboard and TV stop ranking by strokes: skins shows skins won with carryovers hole by hole, match play shows who's up and real closeouts ("3&2"), and nassau scores the front, back, and 18 as three bets. League commissioners can also flip any league to one of these in the scoring app under Manage → Format → Game.

Put the leaderboard on the clubhouse TV. In the scoring app, Manage → TV board → Public TV link mints a link that shows the live board with no login — open it on any TV browser and leave it. Reset the link any time to revoke old ones. Skins/match/nassau leagues get their game card on the TV automatically.

Scoring, live leaderboards, and the TV board come from the competitions side of Aced and read from the same customer records.

The course TV channel

Put /tv/board/your-course-slug on the clubhouse TV and leave it forever: when a tournament is live it becomes the leaderboard automatically, and the rest of the time it rotates signage built from what you already publish — today's weather and course status, upcoming events, alerts, your flyers, and today's rates. Nothing to configure; empty slides just don't appear.
